Session scheduling
Shared calendar:
your clients can check your calendar and book sessions on time slots that you have made available. They can also cancel sessions and reschedule them, if needed.
Appointments management: you can check all your incoming appointments on a single page. You can cancel your appointments if needed. And you can easily
set single time slots or whole days as unavailable for booking.
Automatic notifications:
clients can choose to receive an automatic reminder a day or an hour before the coaching session. When you cancel a booked session, a notification email is also sent automatically to the client.
Appointments download:
you can download the list of your incoming sessions to a file that can be imported into Microsoft Outlook (and every PIM and PDA that handles the iCal standard format).
Client profile and session preparation forms
Client data:
when clients sign up, they fill a form with all the relevant data (name, email address, contact numbers, date of birth, etc.)
Client profile:
it is a form that your clients should fill online at the start of the coaching relationship. You can freely and easily customize the prebuilt set of questions.
Preparation forms:
these are forms that your clients should fill online before each coaching session. You can freely and easily customize the prebuilt set of questions. All the forms that a client has filled are permanently stored and remain accessible online.
Evaluation tools
Assessment programs:
several coaching programs are already available, with more to come. Assessment programs are optional and can be enabled on a client-by-client basis.
Already available programs are:
- 'Strengthen Your Present': this program has been designed as a tool
for the clients who want to work on re-balancing their present. The
program is focused on five areas: environment, balance, money, work,
relationships.
- 'Needs': this program has been designed to help the clients
identify their needs and determining the steps to take in order to
get their needs met.
- 'Values': this program has been designed to help the clients
identify their values and to re-orient their lives according to their
values.
Progress check:
you can easily access charts and detailed information that show the clients' progress with your selected programs.
Payments
Session purchase:
your clients will be able to purchase coaching sessions from you. Payment can be automatic (online transaction via credit card, optional) or manual: in the latter case you will confirm that you received the payment, in order to credit the sessions to the client.
Financial update:
detailed payments and session history is available for each client.
Free sessions:
you can easily assign one or more free sessions to your clients if you want (in the event, for example, that you want to offer a special promotion).
Other collaboration tools
Coach evaluation: it is a form that your clients can fill every two or three months to give you feedback about your coaching practice. You can easily check the results online.
Notes: clients have a space to create notes and write down new objectives or other information and optionally share them with you.
Welcome Pack: when clients sign up, they receive an email which contains the password needed to access the service and an optional 'Welcome Pack' that you previously uploaded.
Extended customizations
Customized calendar: you define your calendar setting the start and the end of your working day, the length of a session, the interval between sessions, the days of week and slots of time that you want to make available to your clients.
Customized look and feel: you can choose the graphics and the look
and feel of your website among an ever growing number of different themes.
Customized forms: all the questions in the client profile form and
the session preparation form can be easily changed. This allows you to create
your own questionnaire and not to rely on a pre-packed solution.
Customized prices: you can set a different fee for each client. This can be very useful if you have different price ranges for different client categories.
Internationalization
Languages: the client website is available in 3 languages: english, french and italian (more to come). The management interface is in english only.
Currency support:
all financial transactions between you and your clients are done in the currency that you select.
Timezone support:
the software takes time zones into account, to guarantee that session scheduling is correctly synchronized.
